Job Description

SUMMARY:

This position is responsible for greeting patients and collecting demographic information, answering the practice phones, copayments, coinsurance, and insurance information; responding to patient inquiries, medical record requests, processing prior authorizations for imaging, BOTOX, and specialty medications, and other healthcare activities.

 

RESPONSIBILITIES:

Perform front desk check-in and check-out duties as assigned, including but not limited to:*

Obtain updated intake forms.* *

Make copies of or scan insurance cards.* *

Make copy of or scan driver’s license.* *

Obtain demographic information.* *

Obtain CPN disclosure form on all patients.* *

Other paperwork as needed.* *

Collect copay from patient* *

Ensure there is a referral on file if required by the patient’s insurance company prior to the patient’s appointment.* *

Ensure we have a CD from the patient’s imaging facility prior to patient’sappointment.* *

Update patient demographic info in the patient chart in eCW, including PCP,referring doctor, insurance, etc.* *

Scan intake forms, disclosure forms and other paperwork into eCW as needed.* *

Answer phone calls and schedule patients, take messages as required* *

Remove voicemail from the front desk phone and return calls as necessary or pass on messages.* *

Schedule new patient, follow-up, and procedure appointments.* *

Obtain BOTOX prior authorizations* *

Schedule BOTOX appointments - clinic specific* *

Obtain imaging prior authorizations* *

Obtain specialty medication prior authorizations* *

Contact all NP appointments (clinic specific) to make sure they know location/day/time of appointment and are able to access NP paperwork or arrive early to complete.* *

Contact NOS appointments to track reason why* *

Track outgoing referrals - clinic specific* *

Assist with clinic workflow as needed.* *

Demonstrate and apply knowledge of medical terminology, high proficiency of general medical office procedures including HIPAA regulations.* *

Communicate any insurance changes or trends among the team.* *

Maintains a level of productivity suitable for the department.* *

Clearly documents all communications and contacts with providers and personnel in standardized documentation requirements, including proper format.* *

Other duties as assigned.*

 

QUALIFICATIONS:

Minimum Education and Skills Required*

High School Diploma or equivalent* *

Previous experience in a clinic setting preferred* *

Must have excellent verbal and written communication skills.* *

Requires effective customer relation skills* *

Able to organize and interpret data.* *

Requires good judgement, tact, diplomacy, and ability to problem solve* *

Ability to work effectively in a team environment* *

Must be proficient with computer and related software programs.*
