Executive Assistant

Blue Sky Neurology Inpatient/Blue Sky Telehealth is seeking an executive assistant to support the two medical directors (physicians) and the vice president of operations. The position will be based primarily in Englewood at the Swedish Medical Center Blue Sky inpatient office, but will also work at the CarePoint corporate office in Greenwood Village. Blue Sky is a division of CarePoint Health. CarePoint is a large, multispecialty practice that has a presence in multiple states as well as a telemedicine division that has a nationwide footprint. We are looking for a high energy person that wants to be involved in a variety of tasks and projects that will be a positive, professional representation of the leadership team.

Bachelor’s degree

Minimum of at least three years of relevant executive administrative experience—healthcare experience preferred

  • Manage calendars and schedule meetings
  • Reviews invoices to determine which contracts to bill
  • Manage ad hoc projects such as furniture ordering and delivery
  • Book and coordinate travel, itineraries, and conference attendance
  • Create and edit presentation materials
  • Assist with business development and recruitment activities including but not limited to scheduling calls, drafting proposals for review, and distribution of marketing materials and mailings
  • Create monthly reports and distribute to management team
  • Draft meeting agendas and document preparations, minutes
  • Responsible for coordination and ordering of catering for meetings
  • Event scheduling and coordination
  • Create, edit, and proofread documents
  • Assist with expense submission and reimbursement
  • Create and submit time sheets for medical directors
  • Draft correspondence on behalf of leaders
  • Perform day to day executive assistant duties related to the operations of the leaders

  • Detail-oriented
  • Proficient with Microsoft office suite and Google suite (Excel, Powerpoint, Googledocs, Google calendar, and Gmail predominantly used)
  • Professional communication skills, both written and spoken
